Q2 2024: Focus on CLM and Integrations

1) New Triggers for Workflow

We released a new version of automated Workflow triggers. 

Now with 15 event-based trigger types, you can automatically route documents and projects across their lifecycle. By popular demand, we’ve added triggers based on key dates and deadlines.

From now on, Workflow can automatically move several Stages at once when the triggers are activated. Also, with the combination of Workflow and Legito Documents, it is not necessary to save the document to activate the triggers.

2) Improved Search

The following improvements to Search in the Manage Documents and Object Records areas were released:

a) Wildcard Search Querry Type

b) Visual Indicators for Uploaded Files

Legito highlights files uploaded to Document Records that contain the searched terms. This feature is only active if a user searches in uploaded files.

For users that uploaded a large number of files all at once, or Workspaces without indexed files (mainly our early customers) and would like to start doing this, Uploaded Files have icons indicating if they are searchable, being indexed (pending), or are not searchable.

c) Option to search by synonyms 

Our users may create their specific lists of synonyms to customize and improve the Search capabilities in their Workspace.

3) Enhanced Sales Force Integration

The new version of our Salesforce integration is ready. It contains simplified field mapping for basic use cases, and no code JSON mapping for advanced use cases.

Integration takes just a few minutes with simplified field mapping. Just choose the Template Suite you want to generate documents from, then choose which Salesforce fields are inserted in the Template inputs or selections.

4) Customizable Conversation and Columns in Records

From now on, Conversation is a System Property that can be deactivated for Document or Object Records. Also, Conversation has a fixed length and more Properties can be added to the middle column.

To add Properties to the middle column, go to Property Groups settings and choose the middle position of the Property Group.

If there are no Properties in the center column, the right column will automatically expand to occupy the center space.

5) Better Customization of Columns in the Management Area

We added the option to hide the “Owner” and “Stage” columns in the Grid view of the Manage Documents and Object Records areas.

This effect is purely cosmetic, as it does not change the logic of Records. Hiding either column does not deactivate the Stage (Workflow) or the User (Owner).

Q1 2024: New Integrations, Search & Document Automation Features

1) Customizable Template Suite Layouts

We believe that Legito’s unique smart documents featuring inputs and selections within the document are the best for automated drafting of the vast majority of documents, but we understand that a one-size-fits-all approach does not work here.

Legito offers a customizable Template Suite Layout for Template Suites that contain a combination of one or multiple Form Templates with one or multiple Document Templates.

The default Single option displays Templates centrally underneath each other.

The Dual option displays Form Templates in the left column, and Document Templates in the middle of the screen.

Each Template Suite can have a different Layout which can be set in the Template Suite Administration options.

The Template Suite Layout options do not affect any logical dependencies or permissions in the Template Suite and Documents created from them.

For design purposes, when the Dual Template Suite Layout is applied, Forms do not contain Help and Comments, and indentations are automatically set to zero.

Dual Template Suite Layout is not applied in Dual Language Forms or Documents, and for Compare, Import, and/or Batch Generation mode.

Recommendations for Forms in the Dual Template Suite Layout:

  • Use only the Full Width design for Elements.
  • Do not use Questions, Tables, Images, and Sections with more than one column.

2) Customizable Search Logic

We improved the customizability of Search in the Manage Documents area and each Object Management area.

In addition to filtering areas that should be searched, it is also possible to choose the search logic that is applied.

Users can choose any of the following options in the Search drop-down menu:

  • Terms in any order: The standard query for performing a full-text search. This query finds the documents that contain a text string inserted into the search box. For example, if you insert the text “lic”, Legito will find documents that contain words such as policy, non-solicitation, license, solicitor, illicit, and duplicate.
  • Phrase in exact order: This query finds the documents that match exactly a given phrase. The idea behind this option is to search for the phrase (group of words) inserted in the search box in the same order. For example, if you are looking for the phrase “Non-disclosure Agreement”, documents are searched with those words in that order.
  • Phrase in any order: This query finds the documents that contain any word from the phrase inserted into the search box. For example, if you are looking for the phrase “Cease and Desist Letter”, Legito will find documents that contain phrases such as “desist and cease” as well as individual words “Cease”, “and”, “Desist” or “Letter”.
  • Phrase prefix: This query finds all documents that contain any word or phrase that starts with text inserted into the search box. For example, if you insert the text “con”, Legito will find documents that contain words such as Contract, Confidentiality, Contractor, and all other words starting with “con”.

Fuzziness

In addition to selected search logic, fuzziness allows the acceptance of documents with typographical (spelling) errors in the searched text. In other words, you will retrieve results even when the search term contains slight variations. For example, if you are looking for the phrase “Non-disclosure Agreement”, Legito will also find documents that contain “No-disclosure Agreement” or “Non-disclosure Agreement”.

Depending on the location of your Workspace, it may take a few days before you can see the enhanced search.

3) Text Extraction & Optical Character Recognition (OCR)

Our new Optical Character Recognition (OCR) feature will scan through all documents uploaded to Document Records or Object Records using the Saved File property, and save the text content of the files in a searchable form.

In addition to Documents created from automated Templates, Search in the Manage Documents area and each Object Management area will also search the content of the uploaded documents.

Search in the content of documents can be deactivated by unticking the Document checkbox in the Search drop-down menu.

The OCR feature supports multiple standard document formats:

  • Microsoft Word (DOC)
  • Microsoft Word (DOCX)
  • Microsoft Excel (XLS)
  • Microsoft Excel (XLSX)
  • Microsoft Powerpoint (PPT)
  • Microsoft Powerpoint (PPTX)
  • Adobe’s Portable Document Format (PDF)
  • Adobe’s Portable Document Format (PDF) – scan, max 30 MB, first 80 pages
  • Rich Text Format (RTF)
  • Text Format (TXT)
  • Joint Photographic Experts Group (JPG), max 10 MB
  • Graphic Interchange Format (GIF), max 10 MB
  • Tagged Image File Format (TIFF), max 10 MB
  • Scalable Vector Graphics (SVG), max 10 MB
  • PostScript Image Format (PS), max 10 MB

4) eSignature of Legito Documents

We redesigned the initial Signature modal window where users choose documents and have added new options.

First, if there is only one document that can be signed and one signature type, the flow skips the first step and a user is immediately asked to add the signatories.

If there are multiple documents to be signed, it’s possible to choose (tick or untick the checkbox) which documents are sent for signatures, and change their order using the drag-and-drop icon on the left side of each document. This includes PDF attachments.

This feature is available for Legito Sign, Legito BioSign, and for all supported eSignature services (Adobe Sign, DocuSign, etc.).

5) Download and PDF Merge

We redesigned the Download modal window and added more flexibility to the PDF export.

The export options (Comments, Help texts, Image resolution, design of exported empty fields) are now in the Export Settings dropdown.

If the “Combine all files into one PDF” option is activated and there are multiple documents to be downloaded, it’s possible to choose (tick or untick the checkbox) which documents shall be merged into the PDF, and change their order using the drag-and-drop icon on the left side of each document. This includes PDF attachments.

It is also possible to change the name of the merged PDF file.

6) New Condition Type

We added a new condition type referring to the Text Element that allows our power users to build Template logic reflecting if a standard Template text has been modified or not.

This condition type is especially helpful if you would like to automatically build a report of all standard clauses that were changed.

7) Out-of-the-box Salesforce Integration

Legito add-on for Salesforce is a Salesforce component that pulls data from Salesforce and applies it to document templates automated in the Legito platform to generate Word or PDF documents, upload the documents to Salesforce, and/or add a link to the Legito Document for users to continue creating the documents in Legito.

10) Usability Improvements in Document Editor

The Search box appears in the Select or Question dropdown if there are more than 7 options.

The interface of the Select and Question dropdown was unified across all types of Select and Question.

The Versions and Compare section in the Review tab was redesigned slightly to improve the user experience on smaller screens.

To allow Salesforce and Legito power users to quickly and easily build a custom integration between these two applications, our team released a Legito app in Salesforce that supports all endpoints contained in Legito’s robust REST API.

For example, it is possible to pull data from Salesforce into a Legito Template to create a Legito Document, export the document to Word or PDF and automatically upload it into Salesforce, all from one click in the Salesforce platform.

2) Out-of-the-box SAML Single-Sign-On integration

We added SAML to our suite of out-of-the-box SSO integrations.

All you need to do is request your subdomain, and then easily set the integration using SAML with no programming required.

3) More languages

The Legito User Interface has been translated into multiple languages such as Spanish, German, French, Italian, Dutch, and more. Thanks to the newly implemented system for our user interface translations, we are able to roll out new translations more efficiently.

Please note that some areas for Workspace Admins and other users with special permissions are in English only.

4) Faster Template Suites with references to large Objects

We upgraded the way Questions, Selects, and Links referring to Objects are processed in the Document Editor. From now on, the Document Editor can quickly generate Template Suites that contain large Objects.

1) Legito App in Zapier

To allow our power users to quickly and easily build custom integrations using the no-code market standard platform Zapier, our team released a Legito app in Zapier that supports all endpoints contained in Legito’s robust REST API.

For example, it is possible to manage Users, send data to a Legito Template and create a Legito Document, export documents to Word and PDF, change the Workflow Stage of documents, or manage Object Records.

October 2023 Release: Easier Forms Building And More

1) Template Editor For Form Templates

To allow our power users to quickly and easily build simple Form Templates in the Template Editor, we added a Quick Actions bar with pre-built blocks for frequently used questionnaire inputs that can be added to a Form Template in one click.

To add a pre-build block, click the Plus icon at the end of your Form, or at the end of each Article of your Form, and select one of the following block types:

  • Text Input
  • Date
  • Money
  • Single Choice
  • Multiple Choice
  • Toggle

Additionally, you can add a block (Article or Paragraph) with a Title only. These blocks do not contain any active fields.

The Plus icon at the end of your Form will add an Article,and the Plus icon at the end of each Article will add a Paragraph to that Article.

Blocks added using the Quick Actions bar are pre-formatted so it is aligned with current web design best practices. However, the design can be changed in the Design panel in the same way as other Clauses and Elements.

Building your Forms using the Quick Actions bar can be combined with the standard way of using Clauses and Elements in the left menu or context menu to create advanced Forms using all the available Clauses and Elements.

2) Auto-complete for Signatories

From now on, Legito will remember any Signatory a User inserts in your Workspace. When you request this Signatory to sign another document, it will automatically complete their name and email address.

Workspace Admins can manage (add, remove, or modify) the Signatories data in the Signatories section of the Workspace Settings.

Legito will roll out all new features in the coming days to all server locations.

September 2023 Release: Localization & Template Editor Improvements

1) Localization Settings for Workspace

Workspace admins can set formats of dates, numbers, and financial values for all Workspace areas except for the content of Templates and Documents which have a separate setting (Document Localization).

In addition to the above, Workspace Localization contains default units (imperial or metric) for the Template Editor and default paper size for Templates.

All values are set automatically based on the Workspace location (country), but Workspace admins may change them.

2) Duplicate feature for Template Editor

Template Editor now has a Duplicate feature that allows Template authors to copy an Element or Clause with all its settings including values, Conditions, Repeats, Tags, Properties, Design, and Help.

3) Template Editor – all inserted clauses are mandatory by default

To unify import from Word and clauses manually inserted to the Templates in the Template Editor, all manually added Clauses to the Template in the Template Editor are now added as mandatory Clauses which means the Eye icon for deactivating the clause is removed by default.

September 2023 Release: Localization & Template Editor Improvements

1) Localization Settings for Workspace

Workspace admins can set formats of dates, numbers, and financial values for all Workspace areas except for the content of Templates and Documents which have a separate setting (Document Localization).

In addition to the above, Workspace Localization contains default units (imperial or metric) for the Template Editor and default paper size for Templates.

All values are set automatically based on the Workspace location (country), but Workspace admins may change them.

August 2023 Release: New Features for Power Users

1) Automatic field creation for Legito Sign and DocuSign

To improve use cases where our customers use Document Automation in combination with eSignatures, we added additional annotations (to the existing “LegitoSign”) for Legito Templates that will automatically create the following field types in Legito Sign and DocuSign:

All caps are required for these annotations.

For each subsequent signatory, simply increment the number at the end of the annotation. For instance, for the second signatory, it would be LEGITOSIGNDATE2, for the third signatory, it would be LEGITOSIGNDATE3.

Please note that field positioning may not be pixel-perfect. Therefore, we recommend leaving enough space for the fields.

Using white text for the annotations is recommended.

2) More customizations for Push API calls (webhooks)

We have created a customizable headers option for each Push API call (webhook).

You now have the ability to add multiple headers, where each header consists of a Header Name and a corresponding Value.

A Value may contain the variables described below in point 4. If a variable is used, it will be displayed in curly brackets, for example {LEGITO.currentUser.name}.

Custom headers allow you to implement more sophisticated logic and security on the listener’s side.

3) Enhanced extraction of data from Legito Documents to Document Records

We have enabled the extraction of data (values) from single-choice Questions and Switchers within Legito Documents into Document Record Properties using Template Tags. More information can be found in the table provided below.

4) New objects for Scripts

To enhance the functionality of the Scripts attached to Template Tags applied to your Legito Templates, the following new objects are now available for inclusion in your Scripts:

5) User-Specific Custom Data field

To enable the insertion of non-public, additional information to each user, we added a Custom Data field that can be populated also via the REST API.

6) Duplication of Styles

For more efficient management of Styles for Legito Templates, we have introduced the option to duplicate an existing Style.

7) Enhanced Guided Tour Experience

For customers who do not utilize the Document Automation features (automated document templates) in the Legito Workspace, we changed the logic of the Full Guided Tour so that the #tour annotation is not applied to the Template Suite. The guided tour is configured to skip the Document Editor section and proceed directly to the Document Lifecycle Management section.

8) Activation of eSignature providers

In an addition to the Workspace Onboarding, we have introduced the capability to enable or disable eSignatures in the Basic section of the Workspace Settings (available for Workspace Admins only).

July 2023 Release: Enhanced Legito Sign & Free Workspace

1) Legito Sign Enhancements

We have released a new version of Legito Sign with the following new features:

Easier signatures for Legito Users

Users can sign documents with Legito Sign directly from their Workspace. No need to go to the inbox. Also, if a signed-in Legito user clicks the Sign button in the email, the user will stay signed-in when signing the document.

Start Signature Process from the Manage Signatures section

From now on, it’s possible to start the signature process from the Manage Signatures section. Click the Start Signatures button, upload the document and define Signatories.

In addition to the certificate embedded into the PDF documents signed with Legito Sign, you can download a separate PDF document with confirmation of successful signatures.

There is a new Dashboard widget type bringing core parts of the Manage Signatures section to the Dashboard.

June 2023 Release: Processing PDF Forms

1) PDF Templates

Legito can now process and automatically fill PDF documents using data inserted to your Legito Documents or Forms.

 

 

New Template Type

To add a PDF Template to your Template Suite, hover over the New Template in the Template Suite Administration and choose the PDF option.

Enter the name of the PDF file you want to process, and confirm.

Please note that a PDF Template cannot exist alone in the Template Suite, there must be at least one Document or Form Template that will provide the values for the PDF Template. Also, a PDF Template cannot be the main (first) Template in a Template Suite.

Inserting Data Using Template Tags

PDF Templates are edited in a modified version of the Template Editor. Legito automatically identifies editable fields in the PDF file.

The following PDF field types are supported:

  • Text field – single choice
  • Text field – multi line
  • Checkbox
  • Radio
  • CombText field
  • Combo box
  • List box

Click the field to map it to content inserted into other Templates in the Template Suite using Template Tags. The extraction of data works the same way as extracting data from Legito Documents to Document Records Properties. For example, if you add tag “Seller Name” to a Text Input in a Document Template and also add such a tag to a text field in the PDF Template, Legito will automatically copy text inserted to Text Input in the Legito Document to the text field in the PDF.

Adding New Fields to a PDF Template

If the original PDF file used for a PDF Template does not contain a text field you need, you can add such a text field on the top of the PDF’s original content the same way you add fields in the Legito Sign editor. Drag the field from the left menu bar (Element tab) and drop it anywhere in the PDF document. Then map the field using Template Tags as described above.

Template Conditions

PDF Templates may have Template Conditions the same way as any other Template type. Conditions for PDF Templates are based on the content of other Template types in the Template Suite (Document or Form Templates).

Attaching Processed PDF Documents

PDF Documents generated from PDF Templates are stored in the Attachment section of the Document Editor (below your Legito Documents or Forms).

2) REST API version 7

The new version of our REST API contains the following enhancements:

GET /language

New endpoint that lists available languages (localizations).

POST /document-version/data/{code}

An optional query parameter languageId will be added, which will allow you to shorten the language of the new version of the document

PUT /document-version/data/{code}

This endpoint changes to PUT /document-version/data/{documentRecordcode}

Instead of the document code of the version from which the new version is to be based, it requires the Document Record code. The created version will be based on the last version in the given document record, unless the optional query parameter parentDocumentVersionCode is specified, which acts as a code parameter in previous versions.

An optional query parameter authorId is added, which allows specifying the author of the new version of the document

An optional query parameter languageId is added, which allows you to shorten the language of the new version of the document

3) Default Document Style

One Style in your Workspace is marked as Default for your Legito Workspace. This Default Style cannot be deleted. The Default Style serves as a fall-back style in the case Style selected in your Template if removed. You can change your Workspace Default Style in My Account => Workspace Settings => Styles.

4) Simplification of Document Styles

Legacy “system” style Legito Original is removed from Legito and replaced with the Workspace Default Style as described above.

Also, legacy automatic application of Word styles named Body1-5, Level1-5 and Head in Advanced Layout Design documents is removed and replaced with standard functionality – either export of Legito Styles or application of Word styles assigned to Legito Styles or Clauses.

All these changes result in simplification of formatting in your automated documents. More formatting enhancements will be announced soon.

June 2023 Release: Processing PDF Forms

1) PDF Templates

Legito can now process and automatically fill PDF documents using data inserted to your Legito Documents or Forms.

New Template Type

To add a PDF Template to your Template Suite, hover over the New Template in the Template Suite Administration and choose the PDF option.

May 2023 Release: Process Management Improvements

1) Saved Files Property available for Objects

Now you can upload files to Object Records the same way as Document Records.

We added a feature that allows the activation of Saved Files Property for Object Records.

The Saved Files Property for Object Records can be assigned to certain Objects only, and it has other standard settings just like any other Object Property.

The only difference between Document Records and Object Records is that the e-signature process cannot be initiated for Files uploaded to Object Records.

2) Workflow customization for Drop Area Widget

Up until now, any File dropped in the Drop Area Widget of the Dashboard would initiate the Workspace default Workflow.

From now on, it’s possible to select which Workflow is applied when a File is dropped to a certain Widget.

If you use the Start Signature Widget, ensure that the first Stage of your Workflow allows the e-signature process to be launched.

3) Customize button for creating Object Records

The Create Record button text displayed for an Object can be customized for each Object. For example, if you create an Object called Vendors, the button text could be named “Add Vendor” instead of the generic Create Record text.

To customize the button text, go to Settings, section Objects, click the Edit button for the selected Object, insert text for the new button and click confirm.

4) Renaming Workflow

Now you can rename a Workflow. Open the Workflow Editor and select the pen icon next to the Workflow name.

5) Enhanced AdobeSign Integration

We enhanced the AdobeSign integration with Legito receiving a higher level of partnership certification.

Legito will roll out the new features in the upcoming months to all server locations.
