It is possible to apply the Table of Contents element to all your automated Templates. A ToC element can be placed in any Clause level.

Conditions and Tags may be applied to the ToC elements the same way as any other element.

If multiple (conditioned) ToC elements are used in the same Template, make sure that only one ToC element is applied at a time in the final Legito Document. For the purposes of exporting to Word and PDF, only the first ToC will be used.

It’s possible to repeat Elements in automated Templates in the same way as clauses. If several neighboring Elements are repeated the same way, they will be automatically repeated as an Element Group.

Conditions for repeated items (“is last”, “is not last”, “is second to last”, etc.) can be applied to repeated Elements.

Legito Templates contain one or multiple Sections, similar to sections you will recognize from MS Word or Google Docs documents.

There are 2 types of sections:

  • Next Page Sections
  • Continuous Sections

It is possible to attach conditions to the Sections (in other words, created conditioned Sections) as well as create repeated Sections. If a Section is conditioned and the condition is not met, the entire Section (including its content) is removed from the document.

It is also possible to Tag a Section.

In the case of dual-language documents, it is possible to set a Section to ignore the second language.

Next Page Sections

A Next Page Section can be added by clicking the button underneath the last Next Page Section in the Template Editor.
Each Template has to contain at least one Next Page Section.

Each Next Page Section contains a Header and Footer.

Continuous Sections

Continuous Sections can be inserted into Next Page Sections from the left menu. Continuous Sections cannot be inserted into Clauses.
Any Clause or Element can be inserted into a Continuous Section, the same way you insert them into a Next Page Section.

This feature is currently available in beta. Please be aware that there might be some breaking changes and some functionality that is not supported yet, for example, using multiple Sections in the Legito Templates in combination with Advanced Layout Designs.

Rich Text Element is an area in Your Template where you can create formatted text in the Template Editor as well as in the Document Editor. The goal is not to replace our standard Text and Text Input Elements that are essential for our “Documents as structured data” approach, but to provide our users with options to create formatted text without predefined limitations in parts of contracts and other documents that are always unique, and therefore cannot be automated such as technical schedules or description of work.


Once a Rich Text Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; Repeat; and Tags.

It’s possible to insert Footnotes and Endnotes to the most element types in an Automated Template. If the Element with a Footnote or Endnote is not present in the Document, the relevant Footnote and Endnote is automatically removed as well. In either case, the numbering of the rest of Footnotes and Endnotes is updated.

Because Templates and Documents in the Legito user interface do not have pages, Footnotes and Endnotes are displayed at the end of the Template/Document. After their export to Word or PDF, Footnotes are displayed in the footer at the relevant page and Endnotes are displayed at the end of the document.

To insert Footnote and Endnote to an Element, either:

a) use the Context menu (right-click),
b) go to the Properties tab and activate or deactivate the Footnote or Endnote.

The QR Code Element can generate QR codes based on the content of the Document created from a Template, including information (data) inserted by the end user.

It is possible to define QR Code content by using either JSON or XML inserted into the Item Menu.

To include a value from an Element in the Template Suite into the QR Code, insert $ followed by the Template ID and System Name of an Element in {}, for example {12345.first_party_name}. Legito will help you to choose a Template and Element.

It is also possible to include the URL address of the Document Version or Document Record using ${DR.detailLink} or ${DV.documentEditorLink}. For more details, please read the instructions in the user interface.

Choose the size of the QR Code by dragging its right lower corner or using the Properties tab similarly to the Image Element.

Real-time preview of a QR code is available on the right side of the Item menu. QR Code in the Template content is updated when the Item menu is closed.

QR Code in the Document Editor is generated or updated in the Document Editor when the Document Version is saved.


Once a Text Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; Repeat; Properties; Tags; and Design.

Page Number Element that can be inserted into the Templates. The benefit of using this over the page numbering as part of an Advanced Layout Design is that a Page Number Element can be conditional, so based on the user’s choice, there can be different page numbering, or the page numbering can be added or removed.

You can define all standard numberings, including the sum of all pages, and can continue the numbering from the previous Next Page Section.

All standard Element formatting options are also available in the Page Number Element.

There can be multiple Page Number Elements contained in each Next Page Section.

Legito’s current Document Editor has a pageless view only, so the Page Number Element is applied to the Exported Documents (Word/PDF) only.

Once a Text Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; Properties; and Tags.

The Switcher Element is similar to a Button. It is not exported to Word/PDF and allows users to determine which Clauses and/or Elements will or will not be included in drafted Documents.

The Switcher Element has the following visualization options which may be configured in the Design panel:

  • Choice between a Toggle or Checkbox icon
  • In-Line mode (the Switcher Element is placed within the Clause text similar to how a Button is placed) or “Full with” mode (the Switcher Element operates across the entire length of a Document similar to a Question)

Select Elements are essential for automating templates to build Smart Documents. The Select Element lets the template designer insert a dropdown list into the text of a Clause. Different Conditions can then be connected to each of the dropdown options which can then trigger additional actions.

Once a Select Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs Conditions; Tags; Help; Default Values; Repeat; Properties; Warning; Help; and Design.

The Help tab lets the template designer add Help text for a user drafting a Smart Document from the template. In Document Editor, as the user hovers the cursor over a Select Element with Help text, a Help bubble will appear on the right column of the Document providing instruction on which option to choose.

For example, as seen in Lesson 1: Task 5 of the Educational Courses, the Select Element is used to provide the Debtor with the options of i) receiving the loan either by Bank Transfer or ii) In Cash. If bank transfer is selected, then additional text appears, requesting bank details. This is only one of many applications that the Select Element can be used to automate templates.

Reference Options

In addition to the text options, it is also possible to add options that will refer to texts added to different Elements, typically to Text Inputs, Dates, and Money Elements. Reference Options populate texts similarly to Link Elements.

To create a Reference Option, open Select, click on the + Reference Option, and choose the System Name.

In case such referred Elements are

a) conditioned (or in conditioned Clauses), the Select option will only be present in the Select if the referred Element is also present in the Form or Document.
b) repeated (or in repeated Clauses), the Select option will also be repeated.

 

Non-exportable Options

You can determine if the Select Element will be exported to the final Word/PDF document based on a selected Option. 

Each Select Option has a “No Export” property. If the No Export Option is Selected, the value of the Select will not be exported to Word or PDF.

Sorting of Options

Options in Select Elements may be sorted in the Document Editor alphabetically (ascending or descending) in addition to the existing Custom sorting.

To change sorting, open Select, click on the Sort icon in the left upper corner, choose your preferred sorting option and click Confirm.

Custom sorting will be always applied in the Template Editor to make Template maintenance more convenient.

Select without the first option chosen automatically

By default, the first option in a Select Element is automatically selected. Template builders can choose whether or not any Select Element will have this default option. To do this, open the Properties tab for the Select Element and uncheck the checkbox titled, “First option selected.” Applicable to the Single Choice Selects only.

Multiple-Choice Selects

There is the possibility to choose multiple answers (options) in Selects.

All Select Elements are by default single choice. To change a Select to multiple-choice, go to Properties and activate the “Multiple Choice” property.

It’s possible to define how separators are used to format the output from each Multiple-Choice Select:

  • Separator following each selected option except for the below-mentioned ones.
  • Separator following second to last (selected) option.
  • Separator following the last option.

Separators may be translated for all Template languages in the Translation mode of the Template Editor.

For example, the separators may be set as follows: 

“first option”, “second option”, “third option” and “fourth option”. 

Selects referring to Objects​

Selects may connect Templates and custom Objects in the Workspace.

In addition to the manually added options to a Select by either typing the text of the option or referencing a value from another element in the Template, it is possible to choose that a Select will display Object Records as an alternative to the ones with options defined “statically” in the given Select.

To apply a choice from Object Records for a Select, click the Select and choose Objects at the top of the dropdown. Then continue by selecting the following properties:

  • Object: Define the Object from which Records users can choose.
  • Property: Define which Property of the selected Object Record will be displayed.
  • Dropdown Label (optional): Choose another property of the Object that will be displayed in the dropdown where users choose the option. The purpose of this label is to help your users identify the right option if the Property value is the same for more options. For example, if the Object is a list of your customers – the Property is <Name> and the Label is <Address>, and there are 3 John Does, the address will help the user identify the correct John Doe. The Label of the selected Option will not be displayed, therefore it will not be part of the document in the case of a Select element. This property is optional and you can leave it blank.
  • Filter (optional): In case you don’t want to allow users to choose from all Records of the selected Object, it is possible to apply the saved Object Filter (more info in point 5 of this article) for the Select. In this case, users will only be allowed to choose the Records according to the applied filter in the Select).

For example, if you have an Object containing your customers that are either active or churned, you can use this to apply a filter so your users can choose only from active customers. The Filter is optional and you can also leave it blank.

The following Property Types are supported:

  • Single-line Text
  • Multi-line Text
  • Date (single)
  • Number (will be displayed without Prefix and Suffix)
  • Identifier

Persistence of selected options in a Legito Document: Once a Document (Document Version) is created from a Template, it keeps the values of the selected Document Records even if the values of the Properties in the Document Record are changed afterward. Options displayed in the dropdown of the Select are always up-to-date values from the time that the page with the Document (Document Version) was opened (loaded) regardless of any previous Document Versions.

User Permissions regarding the Object (or its Records) used in the Selects are not relevant for the purposes of Templates/Documents. Users with assigned permission to the given Template Suite and/or Document can always see values from the applied Object Properties in all Records available in the Select.

Search

Because there might be a large number of options, especially in the case of a Select referring to an Object, the dropdown in the Document Editor contains a full-text search for Selec with 7 or more options. In the case of a Select referring to an Object, the full-text search is based on all text values in the Object Records; not necessarily the values displayed in the dropdown in the Template/Document.

Elements which are used to place a modifiable table into a document.

Similar to Clauses, when Table Elements are added to the Editor Canvas, a Text Element is included in both columns. If additional rows or columns are added, additional Text Elements are also included.

Also, like Clauses, Table Elements have attached tabs and features specific to Tables, and the tabs appear when the cursor hovers over it. These include:

  • The “Move” tool (icon of four cardinal arrows), which can be used to move the Table anywhere within the Clause structure
  • The Edit tab, which freezes the Table for modifications The Add Column tab which will create a new column on the far right of the table
  • The Plus Icon, which will create a new row or column
  • Left / Right Directional arrows, which allow columns to be moved left or right
  • Up/ Down Direction arrows, which allow rows to be moved up or down
  • Cell Merge icons, which allow merging table cells together (if applicable). It is possible to reverse the merge by clicking on the “unmerge” icon in the Table cell.

Each Table Cell must have at least one Element within it, it is not possible to delete them all.

Once a Table Element is clicked upon, the details of the Element can be modified in the top menu with the following new tabs: Conditions; Tags; Repeat; Properties; Help; and Design.

Three key points to remember about modifying Tables:

  1. Each row and column has a dedicated Edit button which, once clicked, allows the content of that row or column to be modified separately using the new top menu tabs. Therefore, template designers may add a Condition or a Repeat to a specific row or column in the table. The same applies for choosing different Designs including borders settings, and column width; Where the width of a column has not been manually configured, it will be calculated dynamically based on inserted content.
  2. If a cell has a different row and column settings, the most recently applied settings (row versus column) will apply to that cell.
  3. Common uses for Tables include financial sheets that allow users to complete Text Inputs and Calculations using Document Editor, item lists (e.g. real-estate properties, employee contact information), or signature blocks in agreements in some instances, where they may be used in conjunction with Image Elements, which could be placed within a Table element.

Table Properties

Table Header – If activated, the first row of the table will appear on each page. The setting is relevant only when a table is split across multiple pages. Applicable only to exported Word and PDF documents.

Specific Table Design

Boarders – Set the size of each of the four cell borders (top, bottom, left, right).

Vertical Alignment – It is possible to vertically align text for each cell to the top, middle, or bottom.

Table width – Set the total width of the table. Make sure that this value is compliant with the width of each table’s column (ideally leave the column width empty)
