It is possible to select which formats a Legito Document from a specific Template can be exported.

To restrict formats, go to the Template Administration Area and select the permitted formats for the Template in the left bar. All formats are permitted by default. If at least one format is selected, the formats that are not selected will be restricted.

If any format is restricted, it does not matter that a user is allowed to export documents in such a format according to the user’s permissions. If any format is restricted here, the user will not be permitted to export documents in the restricted format(s) regardless of their user permissions.

These settings do not affect the triggering of the signing process from Legito – the document will always be exported as a PDF for the purposes of electronic signature.

If there are multiple templates within a Template Suite, this feature prevents certain templates from being viewed in Document Editor, although leaving them available for export to Word or PDF files. This may be useful, for example:

  • a calculation sheet has been attached to a Loan Agreement, to perform calculations based on inputs in one or several templates with the results eventually entering the Loan Agreement; or
  • a Delivery Protocol, attached to a Services Contract, which may enter specific delivery obligations into the Service Contract template. Both of these ancillary forms are crucial for completing the main document template but aren’t necessarily important for the end user to see.

No Export

This feature ensures that documents cannot be exported to Word or PDF files. These documents are only available in your Smart Document Workspace as Document Records. This is the default setting for all Form templates and must be unselected in order to perform an export.

Internal Document

Documents can only be viewed by permissioned users and cannot be viewed by Guests. A typical use of this setting is for creating pricing or discount calculation forms.

Sign with Legito Sign or other eSignatures

Documents generated from a template with either of these options selected can be signed via Legito Sign, BioSign, Adobe Sign, DocuSign or any other supported eSignature. Before activating this option, we recommend applying the correct signature tags for an electronic signature. Only users with appropriate permissions may commence the signing process. If multiple eSignature options are activated, users will be asked each time to choose which tool activate the signing process with, for example, either Legito Sign or DocuSign.

Assigned Advanced Layout Design helps you to create custom document designs and export documents into Word and PDF files with your corporate identity. This feature lets you make your corporate brand prominent on document letterhead using images, logos, and Microsoft Word’s native style features, among these being alignments, font types, and multilevel numbering.

To use Assigned Advanced Layout Design, simply upload a Microsoft Word document (.docx format) to the Assigned Advanced Layout Design section of your workspace (learn more in the Workspace Administration area of the KnowledgeBase).

Typically, Legito’s standard “Styles” feature is sufficient for branding your documents with your corporate identity. However, for those instances when a more complex design is required, Assigned Advanced Layout Design may be the proper tool.

If the Workspace Admin has saved more than one Advanced Style to your Workspace, it is possible to assign a specific Assigned Advanced Layout Style to each template. Doing so will ensure that all Word and PDF documents generated from that template will always have corporate branding as defined by the assigned Advanced Style.

It is also possible to select  Alternative Assigned Advanced Layout Design for your templates. This can be useful in those instances when, in addition to the assigned Advanced Style, a document may need to be exported as a Word or PDF file under a different corporate brand, perhaps under the letterhead of a company division or an affiliate.

The main benefit of the Assigned Advanced Layout Design feature is the ability to maintain a single template to which multiple styles can be applied. After generating a document from the template, when exporting the document to a Word or PDF file, users will have the option to apply the appropriate corporate identity directly from the Document Export window in Legito Document Editor or from the Document Management area.

Advanced users with templates translated in multiple languages are able to assign Assigned Advanced Layout Design and choose alternative Assigned Advanced Layout Design for each language in which a template has been published.
