Q2 2024: Focus on CLM and Integrations

1) New Triggers for Workflow

We released a new version of automated Workflow triggers. 

Now with 15 event-based trigger types, you can automatically route documents and projects across their lifecycle. By popular demand, we’ve added triggers based on key dates and deadlines.

From now on, Workflow can automatically move several Stages at once when the triggers are activated. Also, with the combination of Workflow and Legito Documents, it is not necessary to save the document to activate the triggers.

2) Improved Search

The following improvements to Search in the Manage Documents and Object Records areas were released:

a) Wildcard Search Querry Type

b) Visual Indicators for Uploaded Files

Legito highlights files uploaded to Document Records that contain the searched terms. This feature is only active if a user searches in uploaded files.

For users that uploaded a large number of files all at once, or Workspaces without indexed files (mainly our early customers) and would like to start doing this, Uploaded Files have icons indicating if they are searchable, being indexed (pending), or are not searchable.

c) Option to search by synonyms 

Our users may create their specific lists of synonyms to customize and improve the Search capabilities in their Workspace.

3) Enhanced Sales Force Integration

The new version of our Salesforce integration is ready. It contains simplified field mapping for basic use cases, and no code JSON mapping for advanced use cases.

Integration takes just a few minutes with simplified field mapping. Just choose the Template Suite you want to generate documents from, then choose which Salesforce fields are inserted in the Template inputs or selections.

4) Customizable Conversation and Columns in Records

From now on, Conversation is a System Property that can be deactivated for Document or Object Records. Also, Conversation has a fixed length and more Properties can be added to the middle column.

To add Properties to the middle column, go to Property Groups settings and choose the middle position of the Property Group.

If there are no Properties in the center column, the right column will automatically expand to occupy the center space.

5) Better Customization of Columns in the Management Area

We added the option to hide the “Owner” and “Stage” columns in the Grid view of the Manage Documents and Object Records areas.

This effect is purely cosmetic, as it does not change the logic of Records. Hiding either column does not deactivate the Stage (Workflow) or the User (Owner).

The current AI hype is different from all the blockchain hype a few years ago because AI-powered automation actually makes sense, and brings value to the CLM and Document Automation space. However, it is still just hype, which means that we are constantly discussing whether AI can solve absolutely everything. Let’s take a look at where AI will elevate CLM and Document Automation features, and where non-AI automation brings higher value to digital transformation.

AI-powered vs Non-AI Automation

Organizations basically have two ways to approach digital transformation (automation):

a) Create the logic and rules according to which the final product (e.g., a document) is constructed. No Code / Low Code tools like Legito allow the configuration of this logic by making selections in a user interface instead of programming. The software is not self-learning, but it always returns the correct results.

b) Leave it to artificial intelligence by giving it some data for learning, it builds its own logic and then returns more or less accurate results.

Both approaches may complement each other.

Three Important Questions

AI is not flawless and always works on the basis of probability, I would recommend everyone ask themselves these 3 questions before starting to think about implementing AI to automate certain tasks:

  • Can I accept that AI returns different results in two identical situations?
  • Can I accept that nobody will be able to tell me exactly why AI returns these particular results?
  • Can I accept that if the AI returns incorrect results, there is no quick and easy fix?

If your answer to all 3 of these questions is “yes”, then I recommend you consider using AI to automate such tasks, otherwise automating the tasks by using pre-defined logic (Non-AI) will bring you more value.

Why won’t AI replace CLM but complement it?

Ultimately, CLM is about accuracy, accountability, and risk mitigation.

Each CLM process contains multiple tasks, and many of them require a wide knowledge context. At the same time, each organization has its own specific process and policies for CLM.

Having AI drive the entire process is risky because the precision is simply not good enough, yet for such a complex process with a focus on accuracy, there is always the potential to cause substantial damage if not done correctly.

Having said that, AI can be a valuable assistant to humans for some of the tasks within CLM processes, helping us to manage these tasks efficiently.

At Legito, we see AI as an extension of the defined logic and rules for CLM. In other words, we believe that the core of CLM will be based on non-AI automation, and it will contain multiple narrow-focused AI tools that will assist humans with individual CLM tasks.

Why won’t AI replace Document Automation but expand it?

The short answer is that there is no acceptable room for error in legal and business documents.

Let’s start with an example of using AI to create marketing content vs a legal document.

A skilled marketer might create better marketing content than AI, but if the AI creates marketing content with 80% or 90% quality compared to a skilled marketer, that’s more than good enough in most cases. It doesn’t matter as much that the quality is not 100% because the efficiency benefits highly outweigh the slightly reduced content quality. There is also no substantial risk of potential damages.

On the other hand, if you allow AI to draft a contract, even if the AI can produce 90% accuracy like a lawyer, it’s still not good enough to use this technology in practice, because even just one missing comma, digit, or wrong word can cause your organization a lot of damage. Even when we acknowledge that AI is amazing from a technological perspective, it has very little added value for administrative, back office, HR, legal, procurement, sourcing, and other professionals drafting contracts and other legal documents because, in general, reviewing AI-generated documents afterward takes as much time as manual drafting.

Why won’t AI automate my documents anytime soon?

We automate documents to increase the accuracy of document drafting among other things.

To generate accurate documents, we need accurately automated templates. To create accurate automated templates, we need detailed instructions for logical dependencies and other elements.

Automating your legal documents is a very difficult task for AI as each document is somewhat unique, and each organization has specific requirements for logical dependencies to be automated in the template. But even if we assume that there is AI that could do it with high accuracy, there is another issue.

For AI to be able to understand what logical dependencies it creates in your automated templates, you would need to provide it with extremely precise descriptive sets of instructions, and because we know that AI is not 100% precise, you would have to manually check the template afterward to verify the automated content it and execute any corrections. So in the end, it is more time-consuming to describe what you want the AI to do and supervise it, than if you just automated the documents yourself via no-code tools like Legito that make automation very efficient and easy.

There is also one really nice side effect of non-AI document automation. We have a nice phrase in IT: “Garbage in, garbage out”. Automating templates helps people realize all the possibilities and consequences that they might have forgotten to cover in the instructions.

To summarize, automating templates is the type of work that requires 100% accurate results, so it is not appropriate to use AI for these types of tasks. AI may suggest some steps to users in the template automation process but do not expect AI to magically generate and deliver the final product.

When we look at AI applications in the document space, we don’t believe that AI will be able to deliver the final product (e.g., create a first draft of a document, approve a contract, review a document) alone any time soon. Therefore, we will be focused on implementing AI into our software in a way that will assist our users by suggesting what users insert, choose, or do next, rather than completely removing users from some CLM and Document Automation tasks.

Q1 2024: New Integrations, Search & Document Automation Features

1) Customizable Template Suite Layouts

We believe that Legito’s unique smart documents featuring inputs and selections within the document are the best for automated drafting of the vast majority of documents, but we understand that a one-size-fits-all approach does not work here.

Legito offers a customizable Template Suite Layout for Template Suites that contain a combination of one or multiple Form Templates with one or multiple Document Templates.

The default Single option displays Templates centrally underneath each other.

The Dual option displays Form Templates in the left column, and Document Templates in the middle of the screen.

Each Template Suite can have a different Layout which can be set in the Template Suite Administration options.

The Template Suite Layout options do not affect any logical dependencies or permissions in the Template Suite and Documents created from them.

For design purposes, when the Dual Template Suite Layout is applied, Forms do not contain Help and Comments, and indentations are automatically set to zero.

Dual Template Suite Layout is not applied in Dual Language Forms or Documents, and for Compare, Import, and/or Batch Generation mode.

Recommendations for Forms in the Dual Template Suite Layout:

  • Use only the Full Width design for Elements.
  • Do not use Questions, Tables, Images, and Sections with more than one column.

2) Customizable Search Logic

We improved the customizability of Search in the Manage Documents area and each Object Management area.

In addition to filtering areas that should be searched, it is also possible to choose the search logic that is applied.

Users can choose any of the following options in the Search drop-down menu:

  • Terms in any order: The standard query for performing a full-text search. This query finds the documents that contain a text string inserted into the search box. For example, if you insert the text “lic”, Legito will find documents that contain words such as policy, non-solicitation, license, solicitor, illicit, and duplicate.
  • Phrase in exact order: This query finds the documents that match exactly a given phrase. The idea behind this option is to search for the phrase (group of words) inserted in the search box in the same order. For example, if you are looking for the phrase “Non-disclosure Agreement”, documents are searched with those words in that order.
  • Phrase in any order: This query finds the documents that contain any word from the phrase inserted into the search box. For example, if you are looking for the phrase “Cease and Desist Letter”, Legito will find documents that contain phrases such as “desist and cease” as well as individual words “Cease”, “and”, “Desist” or “Letter”.
  • Phrase prefix: This query finds all documents that contain any word or phrase that starts with text inserted into the search box. For example, if you insert the text “con”, Legito will find documents that contain words such as Contract, Confidentiality, Contractor, and all other words starting with “con”.

Fuzziness

In addition to selected search logic, fuzziness allows the acceptance of documents with typographical (spelling) errors in the searched text. In other words, you will retrieve results even when the search term contains slight variations. For example, if you are looking for the phrase “Non-disclosure Agreement”, Legito will also find documents that contain “No-disclosure Agreement” or “Non-disclosure Agreement”.

Depending on the location of your Workspace, it may take a few days before you can see the enhanced search.

3) Text Extraction & Optical Character Recognition (OCR)

Our new Optical Character Recognition (OCR) feature will scan through all documents uploaded to Document Records or Object Records using the Saved File property, and save the text content of the files in a searchable form.

In addition to Documents created from automated Templates, Search in the Manage Documents area and each Object Management area will also search the content of the uploaded documents.

Search in the content of documents can be deactivated by unticking the Document checkbox in the Search drop-down menu.

The OCR feature supports multiple standard document formats:

  • Microsoft Word (DOC)
  • Microsoft Word (DOCX)
  • Microsoft Excel (XLS)
  • Microsoft Excel (XLSX)
  • Microsoft Powerpoint (PPT)
  • Microsoft Powerpoint (PPTX)
  • Adobe’s Portable Document Format (PDF)
  • Adobe’s Portable Document Format (PDF) – scan, max 30 MB, first 80 pages
  • Rich Text Format (RTF)
  • Text Format (TXT)
  • Joint Photographic Experts Group (JPG), max 10 MB
  • Graphic Interchange Format (GIF), max 10 MB
  • Tagged Image File Format (TIFF), max 10 MB
  • Scalable Vector Graphics (SVG), max 10 MB
  • PostScript Image Format (PS), max 10 MB

4) eSignature of Legito Documents

We redesigned the initial Signature modal window where users choose documents and have added new options.

First, if there is only one document that can be signed and one signature type, the flow skips the first step and a user is immediately asked to add the signatories.

If there are multiple documents to be signed, it’s possible to choose (tick or untick the checkbox) which documents are sent for signatures, and change their order using the drag-and-drop icon on the left side of each document. This includes PDF attachments.

This feature is available for Legito Sign, Legito BioSign, and for all supported eSignature services (Adobe Sign, DocuSign, etc.).

5) Download and PDF Merge

We redesigned the Download modal window and added more flexibility to the PDF export.

The export options (Comments, Help texts, Image resolution, design of exported empty fields) are now in the Export Settings dropdown.

If the “Combine all files into one PDF” option is activated and there are multiple documents to be downloaded, it’s possible to choose (tick or untick the checkbox) which documents shall be merged into the PDF, and change their order using the drag-and-drop icon on the left side of each document. This includes PDF attachments.

It is also possible to change the name of the merged PDF file.

6) New Condition Type

We added a new condition type referring to the Text Element that allows our power users to build Template logic reflecting if a standard Template text has been modified or not.

This condition type is especially helpful if you would like to automatically build a report of all standard clauses that were changed.

Automation in Government Agencies – Better, Cheaper, Faster

“Better, cheaper, faster…pick any two” used to be the mantra for innovations. The implication is that you cannot have it all. Arguably, government agencies were the most reluctant to make that choice because surely they would be hounded for the compromise, which somewhat constrained the case for change.

The common thread running through government departments is the challenge of operating services at scale while ensuring continuity of service. The private sector can usually start small and grow while experimenting in the hoof. However, even the most cynical public procurement professionals must now question the premise that speed, cost and quality are inherently in tension. Let’s use Legito as an example, but apply the points below to any solution designed with the same ethos:

Better, cheaper, faster

The people who know best how to make things better are already working for you. They are employees, and they are also service users, or they have family and friends who are service users. You have subject matter experts who grasp the complexity, variability and vulnerability of the services needed by the community they serve. They see beyond simplistic approaches.

Legito is in a class of modern software that is designed to be deployed by subject matter experts. Gartner calls them ‘Citizen Developers’, and now is the era for citizen developers to make an impact. Citizen developers are uniquely placed to make things better.

We could talk about return on investment, but let’s zoom in on the key difference between modern cloud-based solutions and the type of system that previously required a big IT project and cumbersome IT infrastructure. Solutions like Legito are available on demand; moreover, they scale on demand.

Many teams will start with a free trial and won’t spend anything (other than time) until a proof-of-concept is running for all to see. Use it to measure the cost in a way that aligns with your department’s approach. Verify that it will be cheaper than the status quo. Even in the short term – who doesn’t like quick results in the public arena?

Automation solutions are not faster if they are too simplistic to get the job done – you just end up with large volumes of exceptions that require manual re-work. Funding from taxes poses a dilemma that favors automation where possible: productivity isn’t what it should be, and governments need productivity to balance the books while maintaining services. The post-Covid era has exacerbated an existing problem because more people are economically inactive. There are fewer people to deliver services and pay taxes, but the demand for services is increasing. Difficult funding choices are imposed by government budgets. The financial and opportunity costs of not automating repeatable tasks and processes will impact the state’s ability to deliver services that only humans can perform.

Professional associations aspire to promote the collective interests of their members. Associations will not be heard if they do not have a wide membership to provide both critical mass and funding. On the other hand, spanning a wide prospective membership means the constituents will have differing needs, concerns and scale. The members ostensibly work in the same field, but they don’t necessarily see themselves as having much in common. Associations must engage with members using benefits that manifestly have wide application, but without looking trite.

Associations protecting interest groups ranging from agriculture to legal services, from manufacturing to financial services, tend to be a focal point for compliance, legal and regulatory issues imposed on all members as a condition of being recognised as a professional grouping. Discharging those requirements is generally subject to competitive interests, and there is a manifest advantage if they are seen to adhere to the same modes of operation.

Commonly, members will adopt terms of business promoted by professional bodies, or will operate the same procedures for client onboarding. There’s a cost to compliance, but it’s better for clients and for healthy competition if the costs are proportionate, equally distributed (relative to size) and do not impose unreasonable barriers-to-entry for worthy new entrants.

If it was possible to fully automate all the processes and documents pertinent to professional organizations, it would mean the human workers could press a few buttons and get on with their day job. Attractive at first glance, a regime that doesn’t demand human input is a regime that will have little or no effect on the services provided by the professionals.

A better regime augments the work of professionals. A better regime brings the relevant requirements immediately to hand at the time they are needed rather than relying on a professional to read and remember the content of long policy documents. A better regime is not a tedious cut and paste process requiring no intelligent judgement. A better regime creates outputs that clients perceive as customised, thoughtful and relevant.

Professional associations are optimally placed to identify technologies (invariably cloud-based) with appropriate information security to provide members with access to industry-specific solutions. They can deploy with out-of-the-box content unique to the association, but extensible for organizations who want to add their own content. The content will be maintained up to date, conferring value throughout a member’s subscription period. The correct tools will benefit member organizations and their clients. Industry ‘standards’ can be promoted, but intelligently configured for each member.

If the solution is cloud-based, it doesn’t matter if the members are PC users, Apple users, office-based or field-based. If the solution is designed by subject matter experts rather than developers, the solution will be intuitive and will not require undue training or support overheads.

If it is maintained by subject matter experts, it will be relevant this year and in future years. It would be a member benefit that cannot be readily copied by non-members.

Insights and Highlights from Legalweek 2024

The ALM Law.com Legalweek event is billed as the “one legal event that hits all the marks for information, education and networking”. Legito sent a team with representatives from Europe and the US to showcase the remarkable progress and stories from the last twelve months.

We also used the event to repeat some of the highlights from a presentation that has been well-received at events in Europe: Empowering Citizen Developers – Giving Your Experts Control. Only this time, we were fortunate to be joined on stage by some Legito customers with their in-real-life perspective on the benefits they have seen from deploying tools that can be used by citizen developers.

Kathleen Leighton, from Canadian law firm Stewart McKelvey, Karen Fraser from PwC, and Matthew Mott from MRC contributed to an insightful look at the power that citizen developers can use to positively impact their organizations with the latest generation of automation tools.
Gartner defined the concept of a citizen developer (try our video from last year if it’s a new concept to you). They also forecast the era of low-code tools that make it possible for citizen developers to deliver results: tools like Legito. Citizen developers can emerge in any industry but we are seeing a rapid uptake by professional services organizations, including law firms, who want more ways to scale the impact of their subject matter experts in a market where clients want more than one-off advice billed by the hour.

Legalweek is a conference primarily for lawyers, but lawyers in corporate legal teams are also consumers of legal services. The consistent message from all our speakers was that modern tools (not just Legito, but of course we include Legito) are fulfilling the needs of both the professionals who deploy them and the end clients who use them. The chance to ‘build something’ themselves is increasingly appealing to experts, and the ability to deploy their solutions in a controlled environment is crucial in regulated professions where clients have non-trivial needs.

Our panel also explored the impact of AI integrated with automation tools. We considered headlines that speculate how AI tools will undermine the jobs of many white-collar workers, especially in knowledge-based industries. Doubtless change is coming (it was ever thus), but we think citizen developers will be at the junction where technology meets consumers of legal services. Citizen developers are the people with the skills and experience to understand best to use automation tools in combination with expertise and the ‘human in the loop’.

As a vendor, we naturally sing the benefits of the tools we sell, but Legalweek gave a chance for our customers, all from prominent respected organizations in professional services, to put their experience in front of their peers at the conference. Although they were all Legito customers (with thousands of users between them), the presentation wasn’t about Legito specifically. It was about professionals getting their hands on tools they could configure and deploy to meet the needs of their organization and their clients without reliance on developers, in a way that allows their experts to focus on the task, not the tool.

We enjoyed hearing how firms like PwC, Stewart McKelvey and MRC are incentivising the adoption of tech-based solutions among experts who were previously under pressure from regimes such as billing targets. Karen, from PwC, also explained how a massive organization like PwC can drive the adoption of tools while recognizing the individual opportunities of colleagues to contribute. Not everyone will be a citizen developer: for some colleagues it is enough to train and encourage them to be ‘savvy and responsible users’ of automation tools.
